Terms of Service

Effective Date: August 1, 2026

These Terms of Service ("Terms") are a legal agreement between you and BenchWork("we," "us," or "our"), the operator of this web application (the "Service").

By creating an account, accessing, or using the Service, you agree to be bound by these Terms and by our Privacy Policy, which is incorporated into these Terms by reference. If you do not agree to these Terms, do not use the Service.

Description of Service

BenchWork is an academic and athletic organization tool built for college student-athletes — initially focused on NCAA Division III baseball players, though the Service may expand to other sports and divisions over time. The Service helps you:

  • Organize course schedules, assignments, and academic tasks
  • Track grades and GPA that you input
  • Track a minimum eligibility GPA threshold that you input, for your own reference
  • Manage a calendar of practices, games, travel, exams, and season dates
  • Upload and automatically parse syllabi and schedules using AI-assisted processing
  • Generate AI-assisted draft emails to professors, coaches, or advisors for your review

BenchWork is a personal productivity and organization tool. It is notaffiliated with, endorsed by, or connected to the NCAA, any athletic conference, or any college or university, and it does not interface directly with any school's official systems.

Eligibility

To use the Service, you must be at least 13 years old. The Service is designed primarily for college students (generally 18 years of age or older). If you are between 13 and 18 years old, you should have a parent's or guardian's awareness before subscribing, as BenchWork is a paid product requiring payment information. By using the Service, you represent that you meet these age requirements and that all information you provide to us is accurate.

Account Registration & Security

To use most features of the Service, you must create an account using an email address and password. You are responsible for providing accurate information when registering, maintaining the confidentiality of your password, all activity that occurs under your account, and notifying us promptly at hello@benchwork.app if you suspect unauthorized access to your account.

We store your password only as a one-way cryptographic hash and never in plain text. We cannot recover your original password if you forget it — you will need to reset it.

Free Trial, Subscription & Billing

Your free trial lasts 14 days and does not require a credit card. We do not ask for payment details to start it, we do not hold a card on file during it, and nothing is charged to you automatically when it ends. There is no way for the trial to silently turn into a paid subscription, because we have no payment method to charge.

What happens when the 14 days are up. Your account does not get deleted and your data is not touched. BenchWork switches to read-only: you can still sign in, and you can still view everything you have already added — your schedule, classes, grades, tasks and notes. You will not be able to add, edit or delete anything, and AI features are paused, until you choose a plan and add a card. Read-only access is not time-limited; your information stays available to look at for as long as your account exists.

Plans, and what you pay only if you choose to subscribe:

  • $9.00 per month, renewing every month, or
  • $79.00 per year, renewing every 12 months

Prices are in U.S. dollars and exclude any tax that may apply where you live. You will always see the price, the billing interval and the date of your first charge on the payment screen before you enter card details and confirm. Entering your card and confirming is what authorises the charge — nothing before that point does.

Automatic renewal. Once you subscribe, your plan renews automatically at the price above at the end of each billing period, and your card is charged on each renewal date, until you cancel. If you are on the annual plan we will email you a reminder before each renewal, at least 15 and no more than 45 days ahead of the renewal date, telling you the renewal date, the amount, and how to cancel.

Cancelling. You can cancel at any time, by yourself, in the same place you subscribed — no phone call, no email, and no request to a person. Open Settings in BenchWork and use the billing section to cancel immediately. Cancelling stops all future charges. Your subscription stays active until the end of the period you have already paid for, after which your account returns to read-only and your data remains viewable.

Price changes. If we change the price of a plan you are subscribed to, we will tell you by email at least 30 days before the new price applies to you, and the notice will state the current price, the new price, the date it takes effect, and how to cancel. A price change never takes effect mid-period, and if you do not want to pay the new price you can cancel before it applies.

Billing is handled entirely by Stripe, our third-party payment processor. BenchWork never receives or stores your full card number.

Refunds. Because you can cancel at any time to stop future charges, we do not automatically refund partial periods or unused time. If you were charged in a way you did not expect, contact us at hello@benchwork.app and we will look at it in good faith and refund where it is fair to do so.

If you subscribed through the Apple App Storerather than on our website, Apple handles that payment and its own refund and cancellation rules apply. In that case, manage or cancel the subscription in your device's Subscriptions settings.

Acceptable Use

You agree that you will not:

  • Use the Service for any unlawful purpose or in violation of applicable law
  • Attempt to gain unauthorized access to the Service, other users' accounts, or our systems
  • Upload content that infringes someone else's rights, is defamatory, harassing, or unlawful
  • Upload malicious code, reverse-engineer the Service, or interfere with its normal operation
  • Use the Service's AI features to generate content intended to deceive, harass, impersonate, or defraud another person
  • Misrepresent your identity or impersonate any person, including school officials, coaches, or advisors
  • Resell, sublicense, or provide access to the Service to third parties without our written permission
  • Scrape, harvest, or extract data from the Service using automated means without permission

User Content & Data Ownership

You own your data.Any academic data, schedules, grades, syllabi, calendar entries, and other content you upload or input into the Service ("User Content") remains yours. We do not claim ownership over your User Content.

By uploading or inputting User Content, you grant BenchWork a limited, non-exclusive, worldwide license to access, store, process, transmit, and display that content solely for the purpose of operating and providing the Service to you — including processing it through our third-party service providers (such as Supabase for storage and OpenAI for AI-assisted parsing and email drafting). This license ends when you delete the relevant content or close your account.

You are responsible for the accuracy and legality of any content you upload. Do not upload content that you do not have the right to share.

AI-Generated Content Disclaimer

BenchWork uses OpenAI's GPT-4o model to power two features: (1) parsing uploaded syllabi and schedules into calendar events and tasks, and (2) generating draft emails to professors, coaches, or advisors.

You must review all AI-generated output before relying on it or acting on it.

  • Parsed schedule/syllabus data may contain errors. Dates, deadlines, times, and other details extracted by AI from your uploads may be misread, misinterpreted, incomplete, or incorrect. Always cross-check imported events and tasks against your original syllabus or schedule.
  • Drafted emails are starting points, not finished messages. You are solely responsible for reviewing, editing, and approving any email before it is sent. AI-generated drafts may contain factual errors, an inappropriate tone, incorrect names or details, or other issues.
  • We are not responsible for inaccuracies, omissions, or consequences arising from AI-generated content. These features are a convenience and a starting point, not a guaranteed-accurate output.

Academic Disclaimer

BenchWork is a personal organization and productivity tool. It is NOT a substitute for official academic or athletic eligibility guidance, and it does NOT guarantee compliance with NCAA, conference, or school eligibility requirements.

Please read this section carefully, as it is one of the most important parts of these Terms:

  • Any GPA thresholds, eligibility indicators, or related calculations shown in the Service are based solely on the information you personally enter, and are provided for your own informational and organizational convenience only.
  • BenchWork does notverify your eligibility status with the NCAA, your athletic conference, or your school's compliance office, and does not have access to or integration with any official school, conference, or NCAA eligibility system.
  • NCAA and school eligibility rules are complex, change over time, and can depend on factors the Service does not track (such as credit-hour progress-toward-degree rules, transfer credit rules, redshirt status, and conference-specific requirements).
  • You are solely and entirely responsible for verifying your actual eligibility status directly with your school's athletic compliance office, academic advisor, and/or the NCAA. Do not rely on BenchWork as your sole source of truth for eligibility decisions.
  • BenchWork, and its founder, will not be liable for any loss of eligibility, athletic participation, scholarship, or any other academic or athletic consequence that results from reliance on information, calculations, or reminders provided by the Service.

By using the Service, you acknowledge and accept that eligibility tracking features are organizational aids only, and that final responsibility for eligibility compliance rests with you and your school.

Termination

You may stop using the Service and close your account at any time by contacting us at hello@benchwork.app. Canceling your subscription stops future billing but does not automatically delete your account data — to fully delete your data, follow the process described in our Privacy Policy.

We may suspend or terminate your access to the Service, with or without notice, if:

  • You violate these Terms or our Acceptable Use policy
  • Your account is associated with fraudulent, abusive, or illegal activity
  • We are required to do so by law
  • We discontinue the Service

If we discontinue the Service entirely, we will make reasonable efforts to notify active users in advance and provide an opportunity to export their data where practicable.

Disclaimer of Warranties

The Service is provided "as is" and "as available," without warranties of any kind, whether express, implied, or statutory. To the fullest extent permitted by applicable law, BenchWork disclaims all warranties, including implied warranties of merchantability, fitness for a particular purpose, non-infringement, and any warranty arising from course of dealing or usage of trade.

We do not warrant that the Service will be uninterrupted, error-free, or completely secure; that any AI-generated output will be accurate, complete, or suitable for your purposes; that the Service will meet your specific requirements; or that any errors or defects will be corrected.

You use the Service at your own risk. As a small, solo-founder product, BenchWork is provided with the resources and diligence appropriate to that scale, and you should not treat it as a substitute for professional academic, legal, or compliance advice.

Limitation of Liability

To the fullest extent permitted by applicable law, BenchWork and its founder will not be liable for any indirect, incidental, special, consequential, exemplary, or punitive damages — including but not limited to loss of academic standing, athletic eligibility, scholarships, data, revenue, or goodwill — arising out of or related to your use of, or inability to use, the Service.

Our total aggregate liability to you for any claims arising out of or relating to these Terms or the Service will not exceed the greater of (a) the amount you paid us in the twelve (12) months preceding the event giving rise to the claim, or (b) fifty U.S. dollars ($50).

Some jurisdictions do not allow the exclusion or limitation of certain damages, so some of the above limitations may not apply to you. Nothing in these Terms is intended to limit liability that cannot be limited under applicable law, such as liability for gross negligence, willful misconduct, or fraud.

Governing Law & Disputes

These Terms are governed by the laws of the State of New York, without regard to its conflict-of-laws principles, except to the extent superseded by applicable federal law.

Informal resolution first. If you have a dispute with us, we encourage you to first contact us at hello@benchwork.app so we can try to resolve it informally and quickly.

If a dispute cannot be resolved informally, it will be subject to the exclusive jurisdiction of the state or federal courts located in New York, and you and BenchWork each consent to personal jurisdiction and venue there. There is no requirement to arbitrate disputes under these Terms.

Changes to Terms

We may revise these Terms from time to time to reflect changes to the Service, legal requirements, or our business practices. If we make material changes, we will update the "Effective Date" above and make reasonable efforts to notify you. Continuing to use the Service after changes take effect means you accept the revised Terms.
